Effective November 3, 2026 · Covers talentledger.app, the TimeTracker app for iPhone and
Android, the time clock tablets at work sites, and the TalentLedger Employee Reminders text program.
This policy explains what information PSA Staffing collects through TalentLedger and the
TimeTracker app, why, who sees it, how long we keep it, and the choices you have. If you are a
PSA associate, some of this only applies when you use the app or a time clock tablet that
recognizes faces; each section says when.
1. Who we are
TalentLedger is the workforce platform PSA Staffing ("PSA", "we") uses to manage timekeeping,
assignments, payroll records, and employee notifications, including the TalentLedger
Employee Reminders text program (birthday and work anniversary reminders and related
workplace notices). TimeTracker is its app: associates placed by PSA use it to
clock in and out and see their hours, client contacts use it to review and approve timecards,
and work sites run it on a tablet as the time clock.
2. Information we collect
From PSA's records
- Workforce records provided by PSA, your employer or its systems: your name,
contact details, assignments, schedule, pay and hours, and employment-related information needed
to operate the platform, including any safety training certificates PSA records for you.
When you use the TimeTracker app as an associate
- Sign-in: the mobile number on your PSA record. We text a one-time code to it
each time you sign in.
- Punches: when you clock in or out, start or end a lunch or break, and which
work site it was for.
- How your phone confirmed it was you: before a punch, the app asks your phone
to check Face ID, your fingerprint or your passcode. That check happens entirely on your phone;
we receive only whether it succeeded and which method was used (for example "Face ID"), never
your face, fingerprint or passcode.
- Location, only with your permission: see section 4.
- Identity check: a photo of a government-issued ID and a selfie, once; see
section 5.
- Device information: phone model, operating system and app version, the
notification token your phone gives the app, whether location permission is granted, and an ID
the app creates for your phone.
- Your agreements: which version of each in-app agreement you accepted or
withdrew, and when.
At a time clock tablet
- Punches made at the tablet, and, where your work site uses face recognition and you have
agreed to it, a face template: see section 5.
Client contacts
- Your name, work email and sign-in details, and the timecard approvals, order requests and
messages you send through the client portal or the app.
Text program enrollment
- If you opt in to texts, we collect your name, mobile number, and consent details — the date
and time, how you opted in (web form or text keyword), the exact consent language you agreed
to, and for web submissions the IP address and browser information. This is the audit record
that proves your consent.
The TimeTracker app contains no advertising and no third-party analytics or tracking.
3. How we use it
- To run timekeeping, payroll and billing for your assignment, and to send your punches to
PSA's time clock system.
- To confirm that punches were made by you, at the work site, and to resolve questions about
arrival and departure times.
- Before your shift starts, to let your PSA contact see whether you are on your way or may be
running late, so they can reach you or let the client know.
- To send notifications about your shifts, such as a reminder when your shift window opens.
- To send the reminder texts you opted in to, and to honor your opt-out immediately when you
reply STOP.
- To keep consent, opt-out and payroll records as the law and carrier rules require, and to
protect the platform and the people who use it.
We do not sell personal information, and we do not use it for advertising.
4. Location (TimeTracker app)
The app records your location only after you agree to it in the app and allow it in your
phone's settings. It then records your phone's position (coordinates, accuracy and time) about
every five minutes during four windows on each day you are scheduled: the hour before your shift
starts, the hour after it starts, the hour before it ends, and the hour after it ends. It also
records your position at the moment you clock in or out.
Outside those windows the app records nothing, including during the middle of
your shift and on days you are not scheduled. To keep recording in those windows when the app is
closed, the app asks for "Always" (iPhone) or "All the time" (Android) location access.
PSA staff who manage your assignment see the positions. The client you work for may see whether
a punch was made at the work site, but not your positions or route. Position records are deleted
90 days after they are recorded. The app's Account → What was recorded shows your
punches and positions from the last 30 days; ask your PSA recruiter for the rest. You can turn off
Record my location under Account at any time: recording stops at once, and PSA
will not end your assignment because you withdrew it.
5. Identity checks and face recognition
ID photo and selfie (TimeTracker app)
To make sure the person using the app is the person on PSA's records, the app asks once for a
photo of a current government-issued ID and a photo of your face. A PSA staff member compares them
with your record. The photos are stored in a private, access-controlled location that only PSA
staff can open. They are not used for face recognition or any automated matching unless you sign
PSA's separate written biometric consent form (below). They are deleted automatically a week after
your assignment ends (or after six months with no punches and no use of the app), or sooner if you
ask; the record that your ID was checked stays.
Face recognition at a time clock tablet
Some work sites use a tablet that recognizes associates' faces to clock them in. This only
happens if you agree: on the tablet itself, or by signing PSA's written biometric consent form, in
which case PSA may build it from your verified ID photo. What we keep is a face template, a set of
128 numbers calculated from your face, not a photo. It is used only to recognize you at that work
site's time clock, is never sold, leased or shared for any other purpose, and is deleted
automatically a week after you are no longer assigned to that site, when you ask, and in any case
within 3 years of your last punch there.
6. Text messaging & your mobile information
No mobile information will be shared with third parties or
affiliates for marketing or promotional purposes. Text messaging originator opt-in
data and consent will not be shared with any third parties, except for service providers acting
on our behalf solely to deliver the messages (for example, our SMS delivery provider) and as
required by law.
Sign-in codes are texted only to sign you in to TimeTracker.
7. Sharing
We share information only with:
- The client you are placed with: your name, punches, hours and timecards for
their site, the training certificates their site requires, and whether a punch was made at the
site. Clients do not see your location points, your ID photos or your face template.
- Service providers that operate the platform on our behalf and may use the
information only for that: Supabase (database, sign-in and file storage), Vercel (website
hosting), TimeStation (time clock), TempWorks (PSA's staffing and payroll system), Quo and Twilio
(text messages), Expo, Apple and Google (delivering app notifications), Mapbox (maps and drive-time
estimates, which receive locations but not your name), and Resend (email).
- Authorities, when the law requires it.
8. Retention
- App location records: 90 days.
- ID photo and selfie: a week after your assignment ends, or after six months without activity;
sooner on request.
- Face template: a week after you stop working at that site, and at most 3 years after your last
punch there.
- Punches, hours, timecards and pay records: as long as payroll, tax and employment law
requires.
- Device records and notification tokens: while you use the app, or until you ask us to delete
your app data.
- Agreement records, text consent and opt-out records: while you're enrolled and for as long as
required for compliance after that. Opt-outs take effect immediately and are kept so we never
text a number that said stop.
9. Your choices
- Location: turn off Record my location under Account in the
app, or turn off location access for the app in your phone's settings. You can always clock in
at the tablet instead.
- Notifications: turn them off in your phone's settings.
- See, correct or delete your information: contact your PSA recruiter or
follow the steps at talentledger.app/delete-account. Deleting app
data does not delete the payroll records PSA must keep.
- Texts: text STOP to any of our messages to stop receiving
them; text HELP for help. Opt back in any time at
talentledger.app/sms-optin or by texting JOIN.
10. Security
Information is encrypted in transit, access is limited to the people who need it for your
assignment, and ID photos are kept in private storage that only PSA staff can open. No system is
perfectly secure; if we learn of a breach that affects you, we will tell you as the law requires.
11. Children
TalentLedger and TimeTracker are for people PSA employs or works with. They are not directed
to children, and we do not knowingly collect information from children under 13.
12. Changes
We may update this policy; the current version always lives at
talentledger.app/privacy, with the effective date above. When an in-app
agreement changes, the app asks you to accept the new wording before it continues.
